Microsoft 365 Business Basic
Email, Teams and Office in the browser and on your phone.
Why not Standard: the desktop apps are not needed, and they are what makes the difference.
What is included
- Business email with a 100 GB mailbox
- Word, Excel and PowerPoint in the browser and as apps on phone and tablet
- 1 TB of OneDrive storage per user
- Teams, in the version with Teams
- No Office desktop apps
- No device management
Microsoft 365 Business Standard
Everything in Basic, plus Word, Excel, PowerPoint and Outlook on your computer.
Why not Premium: you did not ask for device management or extra security, and that is exactly what Premium adds.
What is included
- Word, Excel, PowerPoint, Outlook and OneNote on the computer
- Business email with a 100 GB mailbox and 1 TB of OneDrive
- Teams, in the version with Teams
- Bookings for appointments and Clipchamp for video
- No device management
- No sign-in rules such as Conditional Access
Microsoft 365 Business Premium
Everything in Standard, plus device management and the security we recommend as standard.
Why not Standard: it has no device management, no sign-in rules and no extra protection against phishing and ransomware.
What is included
- Device management with Intune, including phones
- Sign-in rules with Conditional Access (Entra ID P1)
- Defender for Business against viruses and ransomware
- Extra protection against phishing in email
- Labelling and protecting sensitive documents
- A mail archive of up to 1.5 TB
Microsoft 365 E3
Office desktop apps, management and Windows Enterprise, with no limit on the number of users.
Why not Business Premium: the Business licences cover up to 300 users combined.
What is included
- Word, Excel, PowerPoint and Outlook on the computer
- Business email with a 100 GB mailbox
- Windows Enterprise
- Device management with Intune and sign-in rules with Entra ID P1
- The strongest security only comes with E5
Microsoft 365 F3
For people who work on a phone, tablet or shared device.
Why not a Business licence: people who do not work on their own laptop are well served by F3, and F3 is designed for exactly this group.
What is included
- Business email with a 2 GB mailbox
- Office in the browser and as apps on phone and tablet
- Teams, in the version with Teams
- Device management with Intune and sign-in rules with Entra ID P1
- No Office desktop apps

Exchange Online (Plan 1)
Business email and calendar only, without Office and Teams.
Why not a full licence: people who only use email and a calendar do not need Office or Teams.
What is included
- Business email with a 50 GB mailbox
- Calendar and contacts, on your phone too
- Outlook in the browser
- No Word, Excel or Teams
- No OneDrive
- You have more than 300 people who would get a Business licence. Above that number, the Enterprise licences are the right fit.
- You want to set up laptops and roll out apps. That requires Intune.
- You want to secure devices and be able to wipe them remotely. That requires Intune.
- You work with sensitive data. Premium adds sign-in rules, phishing protection and document protection.
- You have to comply with a standard such as NIS2 or ISO 27001. Sign-in rules, device management and document protection are the starting point for that.
- You have to keep email and documents. Premium has an archive of up to 1.5 TB and can lock retention in place, even if someone deletes something.
- You want better security for sign-ins, email or laptops. That is part of Premium.
- You are not yet sure about management or sensitive data. In that case we recommend Premium: that is exactly where it differs from Standard, and you can scale back later.
- Your people use Word, Excel and Outlook on their computer.
- In an office, almost everyone uses Outlook and Excel on the computer, and those are part of Standard.
- You use Access, and that only exists as a desktop app.
- The browser version of Word, Excel and Outlook is enough.
- On a phone or tablet without management, Basic gives a full-size mailbox and Teams.
- On a phone or tablet, a frontline licence is allowed, and F3 already includes device management and sign-in rules.
- People who share a device with colleagues are well served by a frontline licence.
- Email and calendar only: that does not need a full licence.

Microsoft 365 E5 Security The strongest security on top of E3. For frontline licences, the same add-on is called F5 Security.
Defender for Office 365 (Plan 1) Extra protection against phishing and dangerous attachments, for licences that do not include it.
Exchange Online Archiving An archive of up to 1.5 TB and locked retention, for licences without a large archive.
Microsoft 365 backup A copy of email, OneDrive and SharePoint outside Microsoft.
Shared mailbox For info@ and similar addresses, up to 50 GB.
Calendar for rooms and equipment To book meeting rooms, cars or equipment.
Teams Rooms Basic For a meeting room with Teams, up to 25 rooms.
Guest access Guests collaborate in Teams and shared folders using their own account.
Microsoft 365 Copilot Chat AI chat with your work account.
- Every licence comes with and without Teams. If you meet and chat in Teams, take the version with Teams; otherwise the version without Teams costs less.
- You do not meet in Teams. The version without Teams, which exists for every licence, is then the right fit.
- The Business licences cover up to 300 users combined. Above that, Microsoft 365 E3 fits people who work at a laptop and F3 fits people who work on the go.
- A frontline licence is only allowed for people who mainly work on a screen smaller than 10.9 inches, or who share a device with colleagues. The mailbox is 2 GB. If someone also works on a laptop, or has a lot of email, a Business licence is the right fit.
- Exchange Online (Plan 1) is email and calendar only. If such a person does need Teams or shared files after all, Business Basic is the right fit.
- Exchange Online (Plan 1) has a 50 GB mailbox. If the mailboxes are larger, Exchange Online (Plan 2) or an added archive is the right fit.
- With a licence that includes the Office desktop apps, each person can install Office on up to five computers, five tablets and five phones.
- For education, Microsoft has its own licences (A1, A3 and A5) with different terms. We check together whether you are eligible for them.
- For non-profit organisations, Microsoft has its own offers. We check together whether you are eligible for them.
- If freelancers get their own account with you, they need a licence too. Count them in the group that matches their work.
- Guests collaborate in Teams and shared folders using their own account. That needs no licence.
- A shared mailbox, such as info@, and a calendar for rooms or equipment need no licence up to 50 GB.
- A meeting room with Teams runs on Teams Rooms Basic, free for up to 25 rooms. For more rooms or remote management, there is Teams Rooms Pro.
- Basic and Standard have a 50 GB archive. If mailboxes grow beyond that, Exchange Online Archiving is added, or you choose Premium with an archive of up to 1.5 TB.
- With sensitive data or a standard such as NIS2, we also look at Microsoft 365 E5, or at E3 with E5 Security and E5 Compliance added.
- If strict requirements apply, for example under NIS2, the Defender Suite and the Purview Suite are available as add-ons to Business Premium.
- Windows 10 has had no free security updates since 14 October 2025. We move laptops that can run Windows 11 over to it; for the rest, we discuss replacement.
- Windows Home cannot be managed through Microsoft 365. That requires Windows Pro, and the upgrade can be done on the same device.
- On personal phones we only protect the work apps, such as Outlook and Teams. The rest of the phone stays private.
- We manage Macs with Intune, just like Windows: settings, apps and encryption.
- Office 2016 and 2019 have had no updates since 14 October 2025, and support for Office 2021 ends on 13 October 2026. With Microsoft 365 you always have the latest version.
- Your email is currently with Google. We move it to Microsoft 365: email, calendar and files. View Microsoft 365 migration
- Your email is currently with a provider. We move it to Microsoft 365, taking care that no email gets lost. View Microsoft 365 migration
- Your email is on your own Exchange server. We move it to Exchange Online, taking care that no email gets lost. View Microsoft 365 migration
- You are already on Microsoft 365. We then take over the management and check whether the licences still match what you use.
- No email on your own domain yet? We set it up, with SPF, DKIM and DMARC to help keep your email out of spam. Read how that works
- We move files from a server or NAS to SharePoint and OneDrive, keeping the same folders and permissions where possible.
- You add Copilot per user, and not everyone needs it. For organisations with up to 300 users there is Microsoft 365 Copilot Business, and Business Standard and Premium are also available with Copilot included.
- You add Copilot per user, as Microsoft 365 Copilot. Not everyone needs it.
- Copilot Chat, Microsoft’s AI chat, comes with every work account without an extra licence. If you want Copilot to also use your email, calendar and files, you need a Copilot licence.
- Calling through Teams works with Teams Phone as an add-on per user, with numbers from Microsoft or from a telecom provider. Your current numbers can usually be moved over.
- You keep your current phone system. Whether it can work with Teams depends on the supplier; we look into that during the switch.
- You can make simple drawings in Visio in the browser, which is already included. The full Visio app needs a separate licence.
- You can create dashboards for yourself in Power BI without a licence. To share them, everyone who creates or views them needs Power BI Pro.
- Microsoft is retiring Publisher in October 2026. After that, you make leaflets and print materials in Word or in Microsoft Designer.
- Microsoft stores your data, but that is not a real backup. You arrange that separately. Read why
- Take stock We list users, devices and requirements, and order the licences.
- Set up domain and email Connecting your own domain, with SPF, DKIM and DMARC to help your email arrive.
- Move email Email, calendar and contacts move to Microsoft 365, and then we switch your mail delivery over.
- Move files Files move to SharePoint and OneDrive, with the folders and permissions as you know them.
- Turn on security Signing in with a second step for everyone, and the security in your licence set up according to our baseline settings.
- Enrol devices Laptops and phones come under management, with encryption and remote wipe.
- Update Windows Laptops with Windows 10 or Windows Home move to Windows 11 Pro, or we discuss replacement.
- Set up add-ons We turn on Copilot or calling through Teams for the people who use it, with an explanation.
- Set up backup The backup of email, OneDrive and SharePoint is switched on, and we test that restoring works.
- Walkthrough and management Everyone gets an explanation, and after that we manage the environment as agreed in the quote.
